An ATS-friendly resume is not a special document written for a machine. It is a conventional resume whose text can be extracted in the right order. The same choices that help parsing, including clear headings, consistent dates, and straightforward writing, usually help a busy recruiter too.

Choose the role before you choose the words

Save the job description and identify its core responsibilities. Then ask which parts of your background provide the best evidence for those needs. This step prevents a common problem: a polished resume that tells the story of your career but never answers the role in front of you.

Contact information

Put your name, location, phone, email, and relevant links near the top as text. You rarely need a full street address. Check that links open the intended profile and that the email address sounds appropriate for work. Do not place essential contact details only inside an image.

Summary

A summary is useful when it gives the reader context they cannot get from your latest title alone: a career change, a clear specialty, unusual domain experience, or the scale of your work. Two or three specific lines are enough. Skip it if it only says you are motivated, results-driven, and a good communicator.

Data analyst with four years in retail operations, focused on demand forecasting and inventory reporting. Builds SQL and Power BI workflows used by regional planning teams.

Experience

Keep the employer, title, location, and dates in a consistent pattern. Under each role, choose bullets that show relevant decisions and outcomes. Start with the part a recruiter should remember, not with “responsible for.”

Before: Worked with the customer service team to improve response times.

After: Reorganized the support queue by issue type and introduced reply templates, cutting the backlog from three days to one.

The second version is useful because it explains the change. If you do not have a reliable metric, name the process, user, risk, or decision that improved instead of inventing one.

Skills

Treat this section as an index. Group related tools or methods, keep the labels plain, and remove items you would not want to discuss in an interview. Evidence of depth belongs in your experience and projects. Avoid rating bars; “four out of five” has no shared meaning.

Education

Include the institution, credential, field, and completion date or expected date. Coursework helps when you are early in your career and the classes relate directly to the role. Experienced applicants can usually keep this section brief. Follow local norms for grades and personal details.

Projects, publications, and certifications

Add a section when it contributes evidence the experience section does not. A project should identify the problem, your contribution, the main technical or professional choices, and a result or usable artifact. Certifications should be current and relevant. Academic applicants may need a separate, detailed publication record rather than a conventional one- or two-page resume.

Use keywords where they belong

Borrow accurate language from the posting, not entire sentences. If “vendor risk assessment” describes work you performed, use the phrase in the bullet that explains the assessment. If you only place it in a dense skills list, the reader still has to guess what you did.

Keep the layout easy to extract

Prefer one clear column when the employer’s parser is unknown.
Use standard headings such as Experience, Education, Skills, and Projects.
Keep important text out of images, charts, headers, and footers.
Use ordinary bullet characters and readable font sizes.
Make dates and the roles they describe visually unambiguous.

Test the export

Follow the file format requested by the employer. For a PDF, select all text and paste it into a plain-text editor. Read from top to bottom. Check whether columns became tangled, characters disappeared, or dates moved away from their roles. Then inspect the PDF itself for page breaks and clipped links.

One last edit for the human reader

Remove repeated phrases, empty adjectives, and bullets that do not help this application. Read the resume aloud. Natural professional writing is usually direct: a clear subject, a precise action, and enough context to understand why it mattered.
